TrustBuilt Projects ("we", "us", "our") takes your privacy seriously. This policy explains what personal information we collect, why we collect it, how we use it, and your rights under UK GDPR and the Data Protection Act 2018.
1. Who we are
TrustBuilt Projects is the data controller for personal information you provide through our website, by phone, or in person.
Contact: tbp@trustbuiltprojects.com | 07591 260 252
2. What information we collect
We collect the following information when you contact us, book a site visit, or use our forms:
- Contact details: name, email address, phone number, postcode and (where supplied) full address.
- Project information: details about the property and the work you want done.
- Booking information: date and time of your site visit.
- Correspondence: any messages you send us via the contact form, email or chatbot.
- Technical data: basic anonymous information about your visit (page views, referrer, device type) collected via our hosting provider.
3. Why we collect it and the legal basis
- To respond to enquiries and book site visits — legal basis: necessary to take steps at your request before entering a contract.
- To prepare and deliver quotes, manage projects and invoice you — legal basis: performance of a contract.
- To send you information about your project, follow-ups or related services — legal basis: legitimate interests (running our business and following up enquiries).
- To comply with our legal and tax obligations — legal basis: legal obligation.
- To detect fraud or misuse of the site — legal basis: legitimate interests.
We do not use your data for automated decision-making or profiling.
4. Who we share it with
We only share your information with parties that help us run our business, and only the minimum needed:
- n8n (workflow automation) — receives form submissions to route them into our CRM and notify the team.
- Cloudflare Pages (website hosting) — hosts the site you are viewing now.
- Email and calendar providers — for sending you booking confirmations and quotes.
- Notion — our internal CRM where we record your project details.
- Trusted trades and surveyors — only when needed for your specific project and only with your knowledge.
- HMRC, regulators or law enforcement — if required by law.
We do not sell your data to third parties and we do not pass it to advertising networks.
5. How long we keep it
- Enquiry data where no project goes ahead: 12 months.
- Project records (quotes, invoices, correspondence): 7 years for tax and legal reasons.
- Website server logs: typically 30 days.
6. International transfers
Some of our service providers (e.g. cloud hosting) may process data outside the UK. Where they do, we rely on UK-recognised safeguards such as the UK International Data Transfer Agreement, the EU-US Data Privacy Framework, or equivalent.
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate or incomplete data.
- Ask us to delete your data (subject to legal retention obligations).
- Object to or restrict our use of your data.
- Withdraw consent at any time where we rely on consent.
- Request a copy of your data in a portable format.
To exercise any of these rights, email tbp@trustbuiltprojects.com. We respond within 30 days.
8. Cookies and similar technologies
This website uses a minimal number of cookies and similar storage:
- Essential cookies — required for the site to function (e.g. language preference for our Chinese version). These do not require consent.
- Google Analytics (GA4) — helps us understand how visitors use the site. It sets _ga and _ga_* cookies and is loaded only after you click "Accept All" on our cookie banner. Choose "Accept Essential" and Google Analytics is never loaded and no _ga cookie is set. You can change or withdraw your choice anytime via the "Cookie settings" link in the footer, or block cookies in your browser — the site still works normally.
9. Security
We use HTTPS encryption for all data submitted through the site, access controls on our CRM and email, and standard industry practices to protect your information. No system is 100% secure but we take this seriously.
10. Children
This site is not aimed at children and we do not knowingly collect personal data from anyone under 16.
11. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection:
ICO website: ico.org.uk
ICO helpline: 0303 123 1113
12. Changes to this policy
We may update this policy from time to time. The latest version is always at this URL and shows the "last updated" date at the top.
